1. Apply
Complete the notary intake including jurisdiction(s) served, commission details, bond/insurance (if applicable), delivery radius, and sample IDs you accept.
2. Commission & ID Verification
We verify your notary commission, background checks where required, and identity documents. Remote Online Notarization (RON) proofs are validated when applicable.
3. Service Types & Scheduling
Indicate whether you offer in-office, mobile, or remote notarizations, typical availability, travel radius, and per-job fees or flat rates.
4. Security & Document Handling
We advise secure handling best practices: redaction rules, stamping/sealing requirements, and use of signed URLs for sensitive document exchange.
5. Client Match & Handoff
Clients are matched by location, availability, and service type. You receive booking details and the client contact; SpecToDeck does not retain custody of funds for the service.
6. Compliance & Records
We store verification records and audit trails securely. You remain responsible for notarial journals, certificates, and any jurisdictional recordkeeping rules.
Booking & Payment
Clients pay you directly or via your preferred method. For mobile visits, clarify travel fees, cancellation windows, and document-sharing expectations in your profile to avoid disputes.
Best Practices for Notaries
- Always inspect photo ID and certificate requirements for the document type.
- Keep a tamper-evident method for seals and store journals per local law.
- For mobile notarizations, confirm the meeting location is safe and publicly suitable for notarization.
- Use secure links for receiving documents and keep raw files off your personal devices whenever possible.
